Terms of Service for Registered Users of researchmap
These Terms of Service for Registered Users of researchmap (these “Terms of Service”) are terms regarding the use of services related to Registration (defined below), Management (defined below), and the like of Researcher Information (defined below; those services, the “Services”) provided in “researchmap,” a web-based service that is operated by the Japan Science and Technology Agency (“JST”) aimed at collection and public disclosure of Researcher Information and offering a place for Researchers (defined below) to provide information or communicate with each other.
As prescribed in Article 2, paragraph 2 of the Basic Terms of Service for researchmap, the Services may be used only by each person who satisfies the requirements prescribed in Article 4 (Researchers) of these Terms of Service and who performs the prescribed user registration procedures, and then only in accordance with these Terms of Service and to the extent prescribed in these Terms of Service.
Article 1 Definitions
Definitions of the terms used in these Terms of Service are as provided in the following respective items:
(1) “Researchers” has the meaning defined for it in Article 4, paragraph 1.
(2) “Affiliated Organization” means an organization with which a Researcher is affiliated.
(3) “Registered User” has the meaning defined for it in Article 3, paragraph 2.
(4) “Registered Researchers” has the meaning defined for it in Article 3, paragraph 2.
(5) “Registered Affiliated Organization” has the meaning defined for it in Article 3, paragraph 2.
(6) “Account Information” means information regarding the account of a Registered User, including login ID, password, email address, and information on system use, such as login date and time.
(7) “Basic Information” means the following from among information regarding a Registered Researcher: name, Affiliated Organization; department; profile; email address for public disclosure; and other information stated in the column “Basic Information” in “My portal” in researchmap.
(8) “Research Results Information” means information on research achievements from among the information regarding a Registered Researcher.
(9) “Researcher Information” collectively means the Account Information, Basic Information, and Research Results Information regarding a Registered Researcher.
(10) “Registration” (of information) means the new registration of information.
(11) “Management” (of information) means addition to, updating of, amendment to, modification of, deletion of, storing of, and setting as public or non-public and changes of those settings in relation to, registered information.
(12) “Registered Information” collectively means Researcher Information as well as any other information registered in the Services by a Registered User.
(13) “Public Information” means Registered Information that is to be made available to general users of researchmap.
(14) “Limitedly Available Researcher Information” means Registered Information that is to be made available only to Registered Users.
(15) “Non-Public Information” means Registered Information that is not to be disclosed to general users of researchmap or Registered Users.
(16) “Organizational Clerk” means a person who handles clerical work regarding the use of the Services in an Affiliated Organization.
(17) “Laws and Regulations” collectively means laws, orders, regulations, bylaws, conventions, indexes, notices, decrees, guidelines, and the like.
(18) “Researcher Blog” means a blog that is one of the Services that a Registered Researcher may use on the researchmap site.
(19) “Damage, Etc.” means any damage, loss, expense, and the like.
Article 2 Application
1. These Terms of Service apply to all acts regarding the use of the Services and to all relationships between the users of the Services and JST with respect to the use of the Services. Each user of the Services is deemed to have consented to these Terms of Service upon using the Services.
2. The Basic Terms of Service for researchmap apply to any matter not prescribed in these Terms of Service in relation to use of the Services and any general use of researchmap, including but not limited to use of the Services.
3. The separately prescribed Privacy Policy for researchmap applies to the handling and the like of personal information.
Article 3 Registered Users
1. Persons who may use the Services are limited to persons who fall under either of the following items:
(1) a Researcher or his or her agent; or
(2) an Affiliated Organization of a Researcher (however, actual use is to be conducted by an Organizational Clerk for the Affiliated Organization).
2. In order for a person falling under either of the items set forth in the preceding paragraph to use the Services, that person must conduct the prescribed application for use, receive allocation of an individual account or a corporate account, and complete user registration (a person who completes user registration is hereinafter referred to as a “Registered User”; of Registered Users, a Researcher who completes user registration is hereinafter referred to as a “Registered Researcher,” and an Affiliated Organization that completes user registration is hereinafter referred to as a “Registered Affiliated Organization”).
3. The scope of the Services that a Registered User may use differs depending on the classification of the Registered User.
Article 4 Researchers
1. Each person who falls under both “A” and “B” below (“Researchers”) may use the Services by performing the procedures for user registration prescribed in the following paragraph. Even if a person who falls under (1) or (2) of “A” and performs the procedures for user registration subsequently ceases to fall under (1) or (2), the person may continue to use the Services.
“A”: A person who falls under any of the following items
(1) A person who is affiliated with any research institution or educational institution in Japan
(2) A person who has Japanese nationality or a person who is a special permanent resident
(3) A person who does not fall under (1) or (2) above but has some involvement with Japan in relation to research activities or educational activities, such as a person who has fallen under (1) in the past, a person who has carried out collaborative research with a research institution in Japan, or a person who conducts research focusing on Japan
(4) Any other person who JST finds appropriate as a person who has some involvement with Japan
“B”: A person who falls under any of the following items
(1) A person who is engaged in or participates in research activities or who supports such activities
(2) A person who is engaged in educational activities
(3) Any other person JST finds appropriate as a person engaged in research activities or educational activities
2. In order for a Researcher to use the Services, the Researcher must conduct the prescribed application for use, receive allocation of an individual account, and complete user registration. The Researcher must provide in the procedures for user registration his or her name, his or her email address, the name of his or her Affiliated Organization, and other information required by JST. Each Researcher who is a member of ReaD (meaning a Researcher whose information is registered in the “ReaD” web-based service provided by JST in the past and who has not logged into researchmap after the transition to researchmap) will be deemed a Registered Researcher.
3. In the Services, a Registered Researcher may conduct Registration and Management of his or her Researcher Information and use other services incidental thereto. The scope of the Services that may be used differs depending on a Researcher’s classification. Details in this regard will be separately prescribed in user manuals.
Article 5 Agents for Registered Researchers
1. A Registered Researcher may appoint an agent and cause that agent to conduct Registration and Management of the Registered Researcher’s Researcher Information on the Registered Researcher’s behalf.
2. If an agent himself or herself is a Registered Researcher, then agent authority will be granted to his or her account as a Registered Researcher, and if an agent himself or herself is not a Registered Researcher, then the agent must conduct the prescribed application for use, receive allocation of an individual account, and complete user registration. The agent must provide in the procedures for user registration his or her name, his or her email address, the name of his or her Affiliated Organization, and other information required by JST.
3. The scope of an agent’s agent authority may be set without restraint within the scope of the Services that may be used by the Registered Researcher who appointed the agent, and the agent is to conduct Registration and Management of Researcher Information within that scope based on the agent authority granted by the Registered Researcher and on behalf of the Registered Researcher.
4. A Registered Researcher is to conduct appointment of an agent and setting of the scope of the agent’s agent authority at the Registered Researcher’s own responsibility and will assume full responsibility for any act of that agent with respect to use of the Services.
Article 6 Affiliated Organizations and Organizational Clerks
1. Each Affiliated Organization may use the Services by performing the procedures for user registration prescribed in the following paragraph.
2. In order for an Affiliated Organization to use the Services, the Affiliated Organization must conduct the prescribed application for use, receive allocation of a corporate account, and complete user registration.
3. In the Services, a Registered Affiliated Organization may collectively conduct Registration and Management of Researcher Information regarding Researchers of that organization (“Bulk Registration and Management”), edit the information of that organization, and use the services incidental thereto. Details in this regard will be separately prescribed in user manuals.
4. A Registered Affiliated Organization is to appoint an Organizational Clerk and cause the Organizational Clerk to handle the clerical work regarding the use of the Services.
5. Each Registered Affiliated Organization is to appoint an Organizational Clerk at the Registered Affiliated Organization’s own responsibility and will assume full responsibility for any act of that Organizational Clerk with respect to use of the Services.
Article 7 Bulk Registration and Management
1. In order for an Affiliated Organization to perform Bulk Registration and Management of Researcher Information for that organization’s Researchers, the Affiliated Organization must obtain necessary prior consent from each of the Researchers in question in relation to the following matters: (i) Registration and Management of Researcher Information for each of the Researchers that is in the possession of the Affiliated Organization to be conducted in accordance with the provisions of these Terms of Service; and (ii) reflection into the Affiliated Organization’s database of the registered Researcher Information for each of the Researchers and utilization thereof for analysis, evaluation, or the like. However, the specific content and scope of the consent that the Affiliated Organization needs to obtain from each of the Researchers must be determined at the Affiliated Organization’s own responsibility based on the purposes, modes, and the like of utilization of Researcher Information in the Affiliated Organization. Each Affiliated Organization warrants to JST that, upon conducting Bulk Registration and Management of Researcher Information for the organization’s Researchers, the Affiliated Organization has lawfully and appropriately obtained necessary consent from each of the Researchers in question.
2. Each Affiliated Organization is, in advance, to cause Researchers whose Registration of Researcher Information is collectively performed by the Affiliated Organization to be aware that (i) those Researchers will be Registered Researchers, (ii) these Terms of Service will apply to use of the Services, and (iii) it is necessary to comply with these Terms of Service.
3. If a Researcher wishes to use the Services but does not wish to be subject to Bulk Registration and Management by his or her Affiliated Organization, the Researcher must conduct Registration and Management of his or her own Researcher Information after completing by himself or herself the user registration prescribed in Article 4, paragraph 2. Even if a Researcher gives his or her Affiliated Organization the consent to Bulk Registration and Management prescribed in paragraph 1 of this Article, he or she will not be precluded from conducting Registration and Management of his or her own Researcher Information by himself or herself.
Article 8 Handling, etc. of disclosure and nondisclosure of Researcher Information
Each Registered User may conduct Registration of Researcher Information subject to Registration by choosing the Researcher Information to be any of Public Information, Limitedly Available Researcher Information, or Non-Public Information; however, from among the Basic Information for a Registered Researcher, Registration of the Registered Researcher’s name, Affiliated Organization, department, and profile must be conducted as Public Information. Account Information will automatically be Non-Public Information. Even if Researcher Information is registered as Limitedly Available Researcher Information or Non-Public Information, it might be made available to the public or provided to a third party in accordance with these Terms of Service or Laws and Regulations. Details in this regard will be separately prescribed in the Privacy Policy for researchmap.
Article 9 Management of Account Information
1. Each Registered User must, at the Registered User’s own responsibility, keep confidential and manage the login ID and password the Registered User obtains by receiving allocation of an account during user registration for the Services and must not lend these to another person or allow another person to use these.
2. JST may deem any use of a login ID and password of a Registered User to be use by the Registered User in question.
3. Each Registered User assumes full responsibility for all the results that occur in connection with the use of that Registered User’s login ID or password to access the Services.
4. If a Registered User becomes aware of, or suspects, any unauthorized use of the Registered User’s own login ID or password, the Registered User is to promptly notify JST and follow the instructions of JST.
Article 10 Pledge
Each Registered User pledges to JST the following matters with respect to use of the Services:
(1) to use the Services only for the purpose of research or education, and to forgo use of the Services for the purpose of making profit, such as promotion or sale of products, and any other purpose that does not conform to the purposes of the provision of researchmap;
(2) to forgo receipt of consideration through use of the Services;
(3) to use only the interface provided by JST, or whose use is allowed by JST, to access the Services, and to forgo committing unauthorized access and any act that disrupts the operation of the Services; and
(4) to forgo transferring or lending the right to use the Services.
Article 11 Use, etc. of Registered Information
JST may conduct use, etc. of Registered Information as prescribed in the following items, and each Registered User consents thereto.
(1) Use of Registered Information (including Limitedly Available Researcher Information and Non-Public Information) in order to operate the Services, improve the quality of the Services, and otherwise contribute to the business operations of JST
(2) Provision of Registered Information (including Limitedly Available Researcher Information and Non-Public Information) in some cases to a third party subject to the provisions of the separately prescribed Privacy Policy for researchmap
Article 12 Amendment, etc. of Researcher Information by JST
1. JST may conduct Registration and Management of Researcher Information for Registered Researchers in the following manner:
(1) Registration and Management of Researcher Information based on information in the possession of JST or any other third party organization JST finds appropriate;
(2) Registration and Management of Research Results Information by the auto registration function for research results provided by the Services; and
(3) in a case where the information of a co-author is registered in the Researcher Information, Registration and Management of Research Results Information of the Registered Researchers based on the Research Results Information of the relevant co-author.
2. With respect to the Researcher Information for Registered Researchers, JST may conduct standardization of notation, aggregation of names, correction of errors or omissions, or any other modification or amendment equivalent thereto.
3. If JST considers it necessary to do so for the operation of the Services or management of researchmap systems, JST may amend (including change of the scope of public disclosure) or delete all or a part of the registered Researcher Information. In this case, JST is to inform the relevant Registered Researchers of the modification or deletion prior to, or without delay after, the amendment or deletion.
Article 13 Copyrighted work of a third party
1. If, in use of the Services, any Research Results Information, a “Researcher Blog,” or any other Registered Information for a Registered User includes a copyrighted work of a third party (including a co-author), the Registered User must conduct the Registration (including bulk Registration by an Affiliated Organization) of such information at the Registered User’s own responsibility after obtaining prior permission of the third party in question. If a Registered User receives any complaint from a third party or a dispute occurs between the Registered User and a third party, the Registered User is to resolve the complaint or dispute at the Registered User’s own responsibility and expense and is not to cause any inconvenience to JST.
2. Each Registered User (a) acknowledges that rights in the copyrighted work of a Researcher Blog of another Registered User or any other Registered Information of another Registered User belongs to the other Registered User or any other person who is the author of that copyrighted work and (b) must not use any such copyrighted work without permission, unless permitted by law.
Article 14 Handling of personal information
Each Registered User may not make any objection in relation to the handling by JST of the Registered User’s personal information, including information related to the Registered User’s agent, Registered Affiliated Organization, and the Organizational Clerk for that Registered Affiliated Organization, in accordance with the provisions of these Terms of Service, the Privacy Policy for researchmap, Laws and Regulations regarding personal information protection, and the Personal Information Protection Rules prescribed by JST.
Article 15 Acquisition and use of access information
JST will record in a server information regarding each Registered User’s access to the Services. Access information is to be handled in accordance with the provisions of Privacy Policy for researchmap, and JST will take necessary measures to prevent divulgence or loss of, or damage to, the acquired information and conduct any other appropriate Management of the acquired information.
Article 16 Termination, etc. of use of the Services by Registered Users
1. If a Registered User wishes to terminate the Registered User’s use of the Services, the Registered User must conduct the cancellation procedures prescribed by JST on the site for the Services or by sending an email or postal mail to JST.
2. If any of the following events occurs, JST may, without advance notice to Registered Users and at JST’s discretion, suspend any Registered User’s use of the Services (including the suspension of public disclosure of Registered Information in the Services) or terminate any Registered User’s use of the Services and take necessary measures therefor, such as removal of accounts or any other measures, and Registered Users may not make any objection thereto. JST will not in any way be liable for any damage incurred by Registered Users due to such measures.
(1) If a Registered User breaches any warranty set forth in Article 7, paragraph 1, any pledge set forth in Article 10, or any covenant set forth in Article 20, commits any of the prohibited matters set forth in Article 19, or otherwise breaches any of the provisions of these Terms of Service
(2) In addition to the events prescribed in the preceding item, if any other reasonable event occurs by which JST finds it inappropriate or difficult to allow a Registered User to continue the use the Services in the same manner as before
3. Except as otherwise provided for in these Terms of Service, if a Registered User terminates the Registered User’s use of the Services and the Registered User is a Registered Researcher, then JST is to remove the Researcher Information related to such Registered Researcher However, from among the Researcher Information for that Registered Researcher, JST may continue public disclosure of any researchmap Researcher Blog, bulletin board, cabinet, questionnaire, photo album, and general-purpose database and any information and video registered in FAQ.
4. Notwithstanding the provisions of the preceding paragraph, if a Registered Researcher dies, JST may manage the account of the Registered Researcher and continue public disclosure of the Researcher Information (however, limited to information made public by the Registered Researcher before his or her death).
5. Notwithstanding the provisions of the preceding two paragraphs, with respect to the handling of the continuation of public disclosure of the information prescribed in the preceding two paragraphs, if the relevant Registered Researcher, the heir of the relevant Registered Researcher, or the Affiliated Organization before the relevant Registered Researcher’s death requests termination of the public disclosure, then JST is to discontinue that disclosure.
Article 17 Suspension, interruption, termination, etc. of provision of the Services
1. If JST conducts maintenance or repairs on the Services or otherwise finds it necessary to do so, JST may suspend or interrupt the provision of all or part of the Services by giving prior notice. However, in unavoidable cases, including emergencies, JST may suspend or interrupt the provision of all or part of the Services without giving prior notice.
2. If JST finds it necessary to do so, JST may change the contents of the Services by giving prior notice. However, in unavoidable cases, including emergencies, JST may change the contents of the Services without giving prior notice and is to give notice regarding the changed contents after the change. If any amendment to these Terms of Service is necessary due to the change of contents of the Services, these Terms of Service are to be amended in accordance with the procedures prescribed in Article 22.
3. If JST finds it difficult to continue the Services due to unavoidable circumstances, JST may terminate the Services by giving prior notice.
Article 18 Exemption from liability
1. Each Registered User is to use the Services in all aspects at the Registered User’s own responsibility and judgment. In addition, each Registered User is, itself, himself, or herself or within the scope of the his or her agent’s agent authority, to perform Management of Registered Information for Registered Researchers at the Registered User’s sole responsibility.
2. JST makes no warranty regarding the truth, accuracy, appropriateness, usefulness, legality, safety, or recency of the Registered Information or any other matter involving the Registered Information. In addition, JST makes no warranty regarding the continuity, stability, or safety of the Services, including in relation to non-occurrence of failure, error, or malfunction in the systems of the Services.
3. JST will not in any way be liable for any Damage, Etc. or other harm incurred by a Registered User arising out of or in relation to any of the following matters:
(1) suspension, interruption, change, or termination of the Services;
(2) failure, error, malfunction, or the like concerning the systems of the Services or network communication; or
(3) unauthorized access, destruction, alteration, or the like of the systems of the Services.
4. Except for promises or warrants expressly made by JST in these Terms of Service, JST makes no promises or warranties with respect to the Services, including, but not limited to, in relation to the matters prescribed in each item of the preceding paragraph. Unless there is intent or gross negligence on the part of JST, if JST causes a Registered User any Damage, Etc. due to the breach of any promise or warranty prescribed in these Terms of Service, the scope of the Damage, Etc. compensated by JST will be limited to direct and ordinary Damage, Etc. actually incurred by the Registered User.
Article 19 Prohibitions
1. In addition to the prohibited acts prescribed in Article 4 of the Basic Terms of Service for researchmap, Registered Users must not commit any of the following acts in relation to the use of the Services:
(1) conducting Registration of information that is false or misleading, or posting or disseminating such information on a Researcher Blog or the like;
(2) making violent, threating, or discriminatory expressions, excessively controversial or aggressive expressions, obscene expressions, cruel expressions, expressions that slander others, expressions offensive to others, any other expressions that violate public order and morals, or the like (including posting or disseminating information including any of these expressions or the like on a Researcher Blog or the like);
(3) impersonating another’s identity, using the Services by pretending to have authority to represent or act on behalf of others that is not granted in fact, pretending to have qualification or experience that one does not have in fact, or misrepresenting to the effect that one is in an alliance or a cooperative relationship with other persons or organizations;
(4) using the ID and password of another user, holding of multiple accounts by one person, or holding of one account by multiple persons jointly (except for cases where JST specifically permits);
(5) disclosing or divulging to a third party Limitedly Available Researcher Information for other Registered Users or information that contains an invention or idea that is unpublished or not publicly known or any other confidential matter;
(6) treating a specific Registered User differently from other Registered Users without reasonable grounds (including, but not limited to, procedures for invitation or withdrawal in the community); and
(7) any other act JST reasonably considers inappropriate
2. JST, at its discretion, may modify, amend, delete, make relevant Registered Information not available to the public, or take any other measures provided for in Article 16, paragraph 2 without advance notice to the relevant Registered User if the Registered Information contains contents that actually, or are suspected to, infringe the rights of JST or others, damage the reputation of or trust in JST or others, or violate Laws and Regulations, these Terms of Service, other rules and regulations of JST, or the public order and morals (including in a case where public organizations or experts (which means national or local governmental bodies, bodies whose reliability is confirmed as set forth in guidelines for the Act on the Limitation of Liability of Specified Telecommunications Service Providers for Damages and the Right to Demand Disclosure of Sender Identification Information, Internet Hotline Center, lawyers, or the like) point out or express opinions to that effect), and Registered Users may not make any objection thereto. JST will not in any way be liable for any damage incurred by a Registered User due to such measures.
Article 20 Covenants
1. Each Registered User covenants that it, he, or she, at present, does not, and will not in the future as well, fall under an organized crime group, an organized crime group member, a person who has been a member of an organized crime group within the last 5 years, an associate member of an organized crime group, a company related to an organized crime group, a corporate racketeer (sokaiya), a group engaging in criminal activities under the pretext of conducting social campaigns (shakaiundo tou hyoubou goro), a crime group specializing in intellectual crimes (tokushu chino boryoku shudan), an organization that might, as a group or habitually, assist in the conduct of illegal activities, a constituent member of such an organization, or a person considered to be similar thereto (an “Anti-Social Force”).
2. Each Registered User covenants that it, he, or she, at present, does not, and will not in the future as well, have any of the following relationships with an Anti-Social Force:
(1) a relationship whereby it is recognized that the management of the Registered User is controlled by an Anti-Social Force;
(2) a relationship whereby it is recognized that an Anti-Social Force is substantially involved in the Registered User’s management;
(3) a relationship whereby it is recognized that the Registered User is unlawfully using an Anti-Social Force, including for the purpose of acquiring unlawful gains for itself or a third party or for causing damage to a third party;
(4) a relationship whereby it is recognized that the Registered User is involved with an Anti-Social Force, including by providing funds or other items or providing services thereto; or
(5) a relationship whereby the Registered User’s officers or other persons who are substantially involved in the Registered User’s management have a relationship with an Anti-Social Force that is socially reprehensible.
Article 21 Language
These Terms of Service are to be prepared in the Japanese language. However, JST may prepare translations of these Terms of Service in languages other than Japanese for the convenience of the Registered Users. If any discrepancy arises between these Terms of Service and the translation thereof, the Terms of Service in Japanese will prevail.
Article 22 Amendment of these Terms of Service
1. When JST reasonably considers it necessary to do so, JST may amend these Terms of Service by stipulating an effective day for that amendment.
2. In the case referred to in the preceding paragraph, JST will notify the users in relation to the amended Terms of Service by announcing it on the Services or by other means JST finds reasonable.
3. If a Registered User does not consent to an amendment to these Terms of Service, the Registered User is to terminate the Registered User’s use of the Services. If the Registered User uses the Services after the effective day of that amendment, it will be deemed that the Registered User has consented to the amended Terms of Service.
Article 23 Compensation for damage, etc.
1. If a Registered User causes JST any Damage, Etc. regarding the use of the Services, the Registered User must compensate JST for that Damage, Etc.
2. If a Registered User receives a complaint from a third party (including any other Registered User) or a dispute occurs between the Registered User and a third party in relation to Researcher Information or other use of the Services, the Registered User is to resolve it at the Registered User’s own responsibility and expense and must compensate JST for any Damage, Etc. incurred by JST due to any claim received by JST from the third party.
Article 24 Governing Law and Jurisdiction
These Terms of Service are governed by, and to be construed in accordance with, the laws of Japan. Any disputes arising between JST and any Registered User in relation to the Services will be subject to the exclusive jurisdiction of Tokyo District Court as the court of first instance.
Supplementary provisions : Terms of Service for Registered Users of researchmap come into effect as of July 28, 2025.
